What is the purpose of a kick-off meeting?
A kick-off meeting exists to get everyone to the same starting line. Its purpose is alignment: on what the project is for, what will be delivered, when, by whom, and how the two sides will work together. It is not a status meeting (nothing has happened yet) and it is not a pitch (the work has already been won). It is the one hour where assumptions are said out loud so they can be corrected cheaply.
For a creative agency and production studio there is a second purpose, which is trust. The client has bought an idea from a deck. The kick-off is where they meet the people who will make it, hear how they think, and see that the plan survives contact with real dates.
Why it matters
Why the purpose of a kick-off meeting matters
When a kick-off has no stated purpose, it becomes an introductions round with a timeline slide, and the project inherits every ambiguity in the proposal. When its purpose is clear, every agenda item earns its place: the scope is read because it will be the contract of record; the approvers are named because the approval path decides the schedule; the feedback channel is chosen because unmanaged feedback is the biggest source of scope creep we see.
A kick-off with a purpose also ends with something: a recap, a calendar, a first milestone. The ones without a purpose end with "great to meet everyone."
In practice
How a kick-off meeting serves its purpose in practice
- 01
The agenda is the purpose written down. Ours runs: objectives (what success looks like for the client, in their words), scope (deliverables and what is explicitly out), timeline (milestones, review rounds, the lock date), people (names, roles, the single approver), process (where feedback goes, how changes are requested, when we meet) and risks (the things that could move the date, named now). Each item has an owner and a decision, not a discussion.
- 02
The purpose is served after the meeting by the recap. Decisions get written, owners get named and the project schedule is built from the agreed dates. If the kick-off's goal was alignment, the recap is the proof that it happened, and it is the first document a new team member reads when they join the project later.
At RIOT
The purpose of a kick-off meeting at RIOT
Our work with the Washington Commanders has run from the 2022 rebrand film and new identity trailer to season trailers, the Major Tuddy mascot reveal and the "Making the Mascot" documentary, and each piece began with its own kick-off. The purpose shifts with the stakes. A rebrand that a whole league is watching needs a kick-off about confidentiality, approval paths and a reveal date; a season trailer needs one about the story and the footage. Same meeting, different purpose, and naming the purpose first is what keeps it short.
Watch out
What people get wrong about the purpose of a kick-off meeting
Treating it as a formality. If the purpose is "we always have one," the meeting is thirty minutes of pleasantries and the real alignment happens by accident in week three. The other mistake is overloading it: a kick-off that tries to brainstorm the creative, approve the budget and plan the shoot does none of them well. Its purpose is alignment. Creative development has its own meeting.
Also, skipping it for small projects. A two-week edit still has an approver, a deadline and a feedback channel. The kick-off is fifteen minutes. The misunderstanding it prevents is not.
