PM Scheduling Software

PM scheduling software is project management software built around the calendar, used to place every task, person and milestone of a project on specific dates.

What is PM scheduling software?

PM scheduling software is the part of the project management stack that answers one question: when. It holds the tasks, assigns them to people, places them on dates and links them so that a change to one moves the ones that depend on it. Most tools show the result as a Gantt chart, a calendar or a timeline by person. Some are standalone products; many are a scheduling view inside a broader project management platform.

In a creative agency and production studio the scheduling problem has its own shape. Work comes in phases of very different weight: a pre-production week that needs the whole team, a two-day shoot with a full crew, an edit with one person for a month. Good PM scheduling software handles that mix, including the people who are not on the payroll.

Why it matters

Why PM scheduling software matters

A schedule in someone's head or in a static spreadsheet breaks the first time a date moves, and in production dates always move. Scheduling software holds the dependencies, so when the client pushes the script approval by three days, the shoot, the edit and the delivery are re-checked automatically and the producer sees the knock-on effect before promising anything.

It also turns the schedule into a shared fact. When the editor, the client and the producer look at the same timeline, there is one answer to "when is the first cut?" instead of three.

In practice

How PM scheduling software works in practice

  1. 01

The producer builds the project from phases down: pre-production, shoot, edit, review, delivery, each broken into the tasks that matter and linked to the ones they depend on. People are assigned with their availability, freelancers included, and the software flags anyone booked twice. Milestones carry the client's review dates, because a schedule that leaves out approvals is a schedule that will slip.

  2. 02

Then it is run, not admired. The producer updates actual progress weekly, or daily during production; the software recalculates, and the changes go to the client as dates, not excuses. The best setups connect the schedule to the budget and to time tracking, so a moved shoot day shows its cost as well as its date.

At RIOT

Krova is our production software, and scheduling sits at its center alongside bids, budgets and delivery. Keeping them together is the point. On a run of work like the two months of social product films we made for Gantri, where one delivery follows another, a schedule that cannot see the budget is only half a plan.

Watch out

What people get wrong about PM scheduling software

Scheduling every task. A schedule with four hundred lines takes a full day to update, so it is not updated, and it becomes fiction. Schedule phases and milestones, and let the team manage their own tasks inside them. The second mistake is choosing a tool built for software sprints and forcing shoot days into it. Production schedules are about specific days, specific people and specific places, and the tool should treat them that way.

And never saving a baseline. Keep a copy of the approved schedule so the current one can be compared with it; otherwise nobody remembers how far it has moved.

Questions

People also ask

What features should PM scheduling software have?

Task dependencies, assignment by person with availability, milestones for client reviews, a saved baseline to compare against, and views by project and by person. Connections to time tracking and budgets are what separate a planning tool from a drawing tool.

Is a Gantt chart the same as PM scheduling software?

No. A Gantt chart is a view; scheduling software is the system behind it. The software stores the tasks, dependencies and people, and the Gantt chart is one way of displaying them.

Can a spreadsheet work as PM scheduling software?

For one small project, yes. Once projects share people or dates move often, a spreadsheet cannot recalculate dependencies or show conflicts, and the time spent maintaining it soon outgrows the cost of a proper tool.
